Contract: Full-time position starting as soon as possible, but latest July 2017 (freelance or permanent)

Salary: £30k p/a negotiable, dependent on experience

Provenance is looking for an efficient office manager to champion our finance and operations. You’re proactive and comfortable working in a digital startup, eager and able to support our team. In the next few months, we’ll be hiring new staff and moving office, making this a brilliant opportunity for you to make the role your own.

Overview of the Office Manager role:

We have just completed a seed round fundraise and are in need of an experienced operations star to help us with our next stage of growth. The purpose of this role is to support our CEO on the day-to-day running of all finance, HR and sales operational activities, working with an outsourced accountancy function. You’ll be working with all members of our friendly, smart team - the glue, helping the team be as efficient as possible.

Key responsibilities:

- Manage Provenance day-to-day finances, including: End of month finances, including processing expenses, contractor and staff payments and Xero reconciliations

- Issue and process sales invoices to ensure punctual payments from our clients

- Keep a watchful eye on our cash flow via cash projections and monthly bank account-cash reconciliation

- Help prepare financial budgets, forecasts and ad-hoc financial analysis

- Liaise with our accountant for all queries and end of year accounts

Team happiness is central to your role:

- Create, process and maintain employment contracts and files

- Support recruitment process, including posting job adverts, setting up interviews, gathering feedback, references, and on-boarding

- Manage external contractors

- Internal and external event planning and management from team lunches to investor workshops and events

- Continue to innovate with our great 360 team review process, including implement necessary improvements

Ensure smooth running of Provenance operations, including:

- Managing incoming contacts and leads, from small food brands to large sustainability certifiers, including sales, HR, press and research requests Create and process commercial contracts for new clients and partners

- Organise bookings, orders and office logistics

Who we’re looking for:

- At least 3 years of office management experience in a similar startup or small business environment

- Demonstrable spreadsheets and Xero

- Financial literacy of level 1 bookkeeping would be a bonus

- Excellent numerical accuracy and attention to detail, with budget management experience

- Demonstrable experience supporting HR processes and company operations

- Have excellent written and verbal communication skills

- Comfortable working both autonomously and as part of a busy team

- Someone financially astute, self-motivated, organised and able to meet tight deadlines

- Someone passionate about working with a business with a strong social mission and looking for a positive purpose in the company they work for
