Job description

We are seeking a highly organised Memberships & Executive Assistant to support our two Co-founders as an EA, while helping to grow the new membership, organise events and connect the dots within the network.

This is a challenging role requiring excellent interpersonal skills, the ability to communicate at all levels, multi-task and be firm with prioritising the busy workload schedules of the founders. The successful candidate will be well presented, confident and able to work on their own initiative, demonstrating professionalism and discretion at all times. They will be calm under pressure, extremely reliable with a keen attention to detail, but with a zest for life, fun and being part of something special.

Key Responsibilities:

Manage, maintaining Salesforce CRM, arranging meetings replying to emails, prioritising workloads and pushing urgent tasks.

Helping to report, build presentations, agendas, take minutes at meetings, ensuring that minutes are prepared and distributed

Handle sensitive information with the highest level of discretion and confidentiality

Perform any ad hoc tasks or duties as required,

Work with accounts to manage membership payments and inductions

Setting up the lunch events so that rooms are ready and ensuring appropriate equipment is available

Work with the events company to find the best locations for private, fine dining lunches, Key not speakers, training events, awards, summer party and other select scheduled events.

Work with the Travel providers to arrange overseas conferences.

Membership acquisition through marketing and phone contact

Work with marketing to arrange campaigns, manage website text and private members area.

A good all round communicator who’s not afraid to pick up the phone.

Skills and Experience:

- Previous experience within a Exec-Assistant, PA, Membership or events management or senior administrative capacity.

- Experience of supporting at Executive/Director level strong MS office skills, Power point, Excel and Word.

- Experience of Salesforce or similiar CRM advantageous

- Discreet, professional and well spoken

- Very strong communication skills, good both verbal & written

- Numerate

- Articulate

- Exceptionally well organised and efficient, with good common sense, self initiative and quick responsiveness.

- Great sense of humour, own personal style and attitude.

- Proven ability to work efficiently and proactively

- A love for people and networks

- Confident character to liaise with senior people both internally and externally

- Excellent eye for detail

Basic Qualifications

- Significant executive administrative experience in a fast-paced environment

- Proficiency with Word, Excel, PowerPoint and Mac tools.

- Knowledge of Mailchimp and Survey monkey helpful

- Social media savvy, Twitter, FB, LinkedIN etc

- Ability to work in a fast paced environment with big, but fun characters

- Ability to complete a high volume of tasks with minimal direction

Location

- You will be based at our City office, but will be required to meet and work with the founders in both the West-End and City, as well as attend London based events.
